Senior Administrative Assistant

An Administrative Assistant to support Catalyst Production Facility in Pasadena, Texas

 

We are seeking an Administrative Assistant to join our team at our catalyst production facility! You will need strong fundamental knowledge to organize and perform administrative functions to drive company success.

Role Description

This is a full-time on-site administrative role that requires interaction with all levels of the management team and reports directly to the plant manager. This person will be responsible for day-to-day tasks associated with supporting the operation by facilitating and organizing events, meetings, and other system-based task.

Your responsibilities

  • Assists the Managers and Management Team with clerical duties as assigned.
  • Types correspondence, memorandums, and reports.
  • Maintains files, and answers telephone calls.
  • Schedules and coordinates meetings as assigned, prepping meeting room and equipment.
  • Administrative and clerical duties.
  • Works in SAP, including creating purchase requisitions and queries for Key Indicators.
  • Maintain and update monthly data and Key Performance Indicators for monthly presentations.
  • Preparation of presentations for reoccurring monthly meetings and other business focused meetings.
  • Support the Plant Manager with meeting scheduling and appointments.
  • Facilitate meetings for the site which includes ordering lunches and supplies as needed.
  • Assist in setup and execution of plant tours and visits. Issuing visitor and contractor badges
  • Responsible for the ordering, receiving, stocking and distribution of office supplies for the site. 
  • Book and organize travel arrangements for the site.
  • Maintains knowledge that is confidential and sensitive.

Qualifications

  • Legally authorized to work in the United States without sponsorship.
  • Four (4) years related experience and/or equivalent combination of education and experience.
  • High diploma or equivalent; college degree preferred.
  • Requires minimum of Intermediate skill level on Word, Excel, and PowerPoint. 
  • SAP knowledge preferred.
  • Excellent written and verbal communication skills.  
  • Strong organizational and planning skills
  • Have a flexible and solution-oriented way of approaching people and tasks.
  • Demonstrate initiative as well as a positive attitude.
  • Are committed to your work, strive to make a difference and take ownership of own tasks.
  • Have excellent communication and teamwork skills and thrive in cross-cultural contexts.
  • Strong communication skills, verbal and written.
